What exactly is WaiverReview.com?

WaiverReview.com is a specialized, psychologist-led educational consulting service dedicated to helping Medicaid Waiver providers optimize their behavioral documentation to better navigate state regulatory scrutiny and help mitigate compliance risks.

Is this service an official administrative audit?

No. We explicitly do not provide official state audits, legal counsel, or regulatory guarantees. Our focus is strictly on clinical-administrative Quality Assurance (QA) and Continuous Quality Improvement (CQI) through peer feedback.

What specific types of documentation do you review?

We specialize in reviewing Behavior Support Plans (BSPs), Behavioral Assessments (BAs), Behavior Consultation Notes, Brief Support Implementation Services (BSIS) notes, and Progress Notes. Additionally, we evaluate blank agency forms, data sheets, and behavioral graphs to provide formatting feedback that supports low-friction data collection.

How does this process help mitigate regulatory risks?

State oversight reviews frequently flag technical deficiencies when documentation fails to clinically substantiate the services requested and rendered. To address these compliance vulnerabilities, we provide a proactive, rigorous review of both structure and content across your agency's highest-stakes records—including Behavior Support Plans (BSPs), Behavioral Assessments (BAs), Behavior Consultation Notes, Brief Support Implementation Service (BSIS) notes, and Progress Notes. By identifying compliance issues and narrative weaknesses before an official review, we help position your records to better substantiate the service needs requested and support the validation of actual care rendered.

How is sensitive client data protected under HIPAA?

All documentation is handled within a HIPAA-compliant Secure Document Vault environment. Before any file sharing occurs, a formal Business Associate Agreement (BAA) is executed between our organization and your agency.

How does our agency staff receive your feedback?

We provide clear, written technical feedback directly to your management, clinical directors, or direct care supervisors, establishing an ongoing educational feedback loop.

What is included in your BSS Optimization consulting?

BSS Optimization consulting targets your macro-level clinical infrastructure. It is designed to analyze broad-scale workflows to support the refinement of your behavioral services' administrative frameworks, optimize data tracking form layouts to assist frontline staff tracking consistency, and establish educational training and monitoring protocols tailored to your system's operational needs. BSS Optimization is a specialized, standalone consulting service that is completely separate from our core Initial Documentation Review, Per-Project Review, and Continuous Retainer services listed on our pricing page.

How do your user-friendly data tracking systems and monitoring protocols help our agency?

Tracking consistency can be challenging to sustain. We build simplified tracking systems designed to help minimize frontline staff fatigue, backed by monitoring protocols structured to support ongoing documentation integrity.

What is the difference between your Per-Project Review and Continuous Retainer models?

The Per-Project Review is structured for finite historical reviews, targeted documentation cleanups, or providers requiring non-subscription support within a defined scope. The Continuous Retainer is an ongoing quality collaboration designed for agencies requiring regular, weekly, or monthly review windows to support long-term compliance stability.

What does your onboarding process look like for new agencies?

All engagements follow a structured, two-step onboarding process designed for compliance stability: *Step 1: Initial Documentation Review – Every new agency engagement begins with a standardized baseline review of a representative behavioral documentation sample. This review highlights potential documentation vulnerabilities relative to state compliance. *Step 2: Custom Service Path – Following your Initial Documentation Review, you receive a tailored proposal with finalized service options based on your agency's file volume. From there, you select either a Per-Project Review (for finite historical reviews and targeted cleanups) or a Continuous Retainer (for ongoing quality monitoring and rolling assurance of your agency's active behavioral files).
